Show when the property is active and unattended
Recurring programmes may have busy sessions separated by gaps. Share those dates, expected users and who controls entry between activities. Ask how supplies and service are arranged for that pattern rather than assuming a continuous-worksite schedule applies.
Keep the order current as dates move
Extra sessions, cancellations and changing contacts can affect visits. Confirm revised arrangements with the rental business and retain one usable set of site instructions. Ask about the end of the rental and collection separately from the final public date.
Operating days, quiet periods and site access
Define the operating calendar
Explain opening days, busy periods, staff use and any planned closures. Seasonal does not mean constant demand. Discuss facilities and service around the actual calendar, including setup and shutdown. Review the proposed rental and billing periods instead of assuming one arrangement applies to an entire season.
What happens during a gap between activities?
Tell the rental provider whether anyone remains on the property and who can admit a scheduled visit. Discuss care, service and the rental period for that gap without assuming equipment is collected between sessions. Before activity restarts, report a changed layout or contact so the old instructions do not send a supplier to an unavailable entrance.
